How to create a purchase order in five steps

  1. Add your company. Name, address and logo, saved in this browser for next time.
  2. Add the vendor and ship-to. Who you buy from and where the goods should arrive.
  3. Set dates and terms. PO number, delivery date, shipping method, shipping terms such as FOB, and payment terms such as Net 30.

What is a purchase order?

A purchase order, or PO, is the document a buyer sends to a supplier to order goods or services at an agreed price. Once the vendor accepts it, both sides are committed: they deliver what is listed, you pay on the stated terms.

Purchase order vs invoice

The buyer issues the purchase order before delivery: "this is what we want to buy". The seller issues the invoice after delivery: "this is what you owe". A good invoice quotes your PO number. If you also sell, the invoice generator creates the other side of the deal.

How to number purchase orders

Use one simple, sequential format and never reuse a number. PO-0001, PO-0002 works for most small businesses. Larger teams add a year or department code, such as PO-2026-0148. Log every number you issue, including cancelled orders.

The 3-way match

Before you pay a supplier, compare the purchase order, the packing slip and the vendor invoice. Items, quantities and prices should agree on all three.
