      How to use this seating chart maker

      This free seating chart maker builds a printable classroom seating chart or a wedding table plan in your browser. Pick a classroom or an event, set up the desks or tables, add your names, then drag people onto seats or let auto-assign make the first draft. Nothing is uploaded: the names stay on your device, which matters when the list is a class roster or a guest list.

      1. Choose the room. For a classroom, set the rows and columns and pick a layout: rows, pairs, groups of four or a U-shape. For a wedding or event, add round tables, long banquet tables and a head table, set the seats at each one, and drag the tables to where they stand in the venue.
      2. Add names. Paste one name per line, or import a CSV file from a spreadsheet, a gradebook or an RSVP list. An optional second column holds the group or party, and an optional third column holds a table if you already know where someone sits.
      3. Seat people. Drag a name onto a seat, or tap a name and then tap a seat. Drop a name on a taken seat and the two people swap. Auto-assign fills the room in random or alphabetical order.

      Rows

      Every student faces the board. Rows suit tests, direct instruction and the first weeks with a new class, when you are still learning names and routines.

      Pairs

      Two desks side by side with an aisle between pairs. Pairs make think-pair-share and peer checking easy while keeping the room calm, and you can still walk to every desk.

      Groups of four

      Clusters of four desks for projects, stations and cooperative learning. Mix strengths inside each group and keep the clusters far enough apart that groups do not talk over each other.

      U-shape or horseshoe

      Desks along three walls, open toward the front. Everyone can see everyone else, which helps discussions, debates and seminars, and leaves the middle free for demonstrations.

      Under More options you can list pairs of students who should not sit together. Auto-assign then moves one of them so they do not share a pair or group and are not in neighbouring desks, unless the room is too full to separate them, in which case the tool says so.       Wedding seating chart maker and table plan

      For a wedding, a gala or a company dinner, switch to Wedding or event. Add round tables for 2 to 12 guests, long banquet tables and a head table, rename them, and drag them into place. The chart shows each guest's name next to their seat.

      • Keep parties together. Put a party or family name in the second column. Auto-assign seats each party at one table when a table has enough free seats, and tells you which parties had to be split.
      • Fixed seats first. If the third column names a table, such as Head table or Table 4, that guest is placed there before everyone else.
      • Escort card list. The optional name list page sorts every guest alphabetically with their table and seat. Print it for the welcome table, or use it to write escort cards and place cards.

      A few habits make the day easier: seat the head table and close family first, leave a free seat or two at a few tables for late replies, keep elderly guests away from the speakers, and put guests who know nobody at a table with friendly talkers.       Printing and exporting

      When you print, only the chart goes to the printer: no page header, buttons or text. The room is scaled to the printable width of portrait Letter and A4. A very large room prints on two pages, split at a gap between tables or desks so nothing is cut in half. PNG is handy for slides and a screen at the entrance, SVG stays sharp at any size and opens in design tools, and CSV opens in any spreadsheet. In the CSV, any cell that starts with =, +, - or @ gets an apostrophe in front, so a spreadsheet will not run it as a formula.

      Yes. Save the sheet as CSV and use Import CSV. The first column is the name, an optional second column is the group or party, and an optional third column is the table. Header rows, quoted names, semicolon files and the byte order mark that Excel adds are all handled.

      How does auto-assign keep families or parties together?

      With Keep parties together switched on, everyone who shares a party name sits at the same table when one table has enough free seats. If no table is big enough, the party is split over as few tables as possible and the tool lists the parties it had to split.

      Will the seating chart print on Letter and A4?

      Yes. The chart scales to the printable width of both sizes in portrait. Very large rooms print on two pages, split between tables. Choose Save as PDF in the print dialog to keep a file.
