An AI virtual receptionist is software that greets, answers and routes your customers without a person on shift, and in 2026 it comes in two very different shapes: AI phone receptionists that answer calls, and website chat receptionists that answer visitors on your site. Which one you need depends on one thing: where your inquiries come from. Get that right and an AI virtual receptionist pays for itself quickly. Get it wrong and you pay for a channel your customers do not use.
This guide explains what an AI virtual receptionist does, how phone and chat versions differ, how AI compares to a human receptionist, what it can and cannot handle, and how to set one up in about 30 minutes. We make one of these products, the KissMySkills AI Receptionist, which is a website chat receptionist. It does not answer phone calls yet. We say where it fits and where it does not.
Prices checked October 2026 on each vendor's own pricing page.
What an AI virtual receptionist is
A human receptionist does four jobs: answers the first question, takes details, books or routes, and makes sure nobody is left waiting. An AI virtual receptionist does the same four jobs with a language model in place of a person:
- Answer. Hours, prices, services, location, insurance accepted, how the process works.
- Capture. Name, phone, email, what they need and how urgent it is.
- Book or route. Offer a visit, take an appointment request, or pass the conversation to the right person.
- Hand off. Send a clean summary to your team or your CRM so nobody has to ask the same questions twice.
The difference from the old phone tree or scripted chatbot is that the customer can ask in their own words, and the AI answers from your actual information instead of forcing them through menu options.
Phone receptionists vs website chat receptionists
This is the split most buyers miss. Both are sold as "AI receptionist", but they solve different problems.
AI phone receptionists
You forward your business line to the service, and an AI voice answers. Examples include Smith.ai's AI Receptionist, Goodcall, Dialzara, My AI Front Desk and Rosie. Teams that want to design custom voice flows from scratch use platforms like Synthflow, which is now sold mainly as an enterprise product with contracts starting at $30,000 a year.
Best for: businesses where customers pick up the phone. Trades, emergency services, restaurants, many medical offices.
Website chat receptionists
A chat widget sits on your website. It answers visitors from a knowledge base you write, collects contact details and takes requests. Our AI Receptionist is one of these; tools like Chatbase, Tidio's Lyro and Intercom's Fin also cover parts of this job.
Best for: businesses where people research online first. Law firms, clinics, agencies, real estate, ecommerce and any business that gets traffic after hours from people who do not want to call.
A simple decision rule
- If more than about two thirds of new inquiries arrive by phone, start with an AI phone receptionist.
- If more than about two thirds arrive through your website, forms or email, start with a website chat receptionist.
- If it is close to half and half, use both and send everything to one CRM.
Do not guess. Count one week of inquiries by channel before you buy anything.
AI vs human receptionist: cost, coverage, quality
| Human receptionist service | AI phone receptionist | Website chat receptionist | |
|---|---|---|---|
| Typical cost | From about $250 to $300 a month for a small allowance (Ruby, Smith.ai) | From about $29 to $150 a month, some with free tiers | Often inside a broader subscription; ours is part of $15 a month All-Access |
| Coverage | 24/7 with the bigger services | 24/7 | 24/7 |
| Quality on simple questions | High | High if trained well | High if trained well |
| Quality on complex or emotional calls | Highest | Weaker; best tools hand off to humans | Weaker; should hand off to your team |
| Billing risk | Per call or per minute adds up fast | Overage per minute or per customer | Usually flat |
The honest summary of AI receptionist vs human receptionist: AI wins on cost and availability for routine questions. Humans win on judgment, empathy and anything unusual. The best setups use AI for the first answer and a person for the hard cases. For a longer breakdown, see our comparison of AI and human answering services.
What it can and can't handle
Handles well:
- Hours, location, parking, directions
- Services and starting prices, if you give it the prices
- "Do you work with X?" and "Do you take my insurance?" type questions
- Collecting contact details and a short description of the need
- Appointment requests and routing to the right person
- After-hours inquiries that would otherwise wait until morning
Should not handle:
- Medical, legal or financial advice
- Emergencies; give a clear "call 911 or our emergency line" instruction instead
- Complaints from angry customers, refunds and disputes
- Exact quotes that depend on a site visit or inspection
- Anything not in its knowledge base; a good receptionist says "I'll pass this to the team" instead of guessing
How to set up an AI receptionist in 30 minutes
The steps are the same for most tools. Here is how it works with ours.
Knowledge base
Write down the 20 questions you answer most often, with your real answers. Add hours, address, services, starting prices, service area and how to book. Paste your existing FAQ page if you have one. With the KissMySkills AI Receptionist you can do this in the dashboard, or just tell Claude or ChatGPT "set up an AI receptionist for my website" through the KissMySkills connector and answer its questions. Keep answers short and factual; the AI only knows what you give it.
Tone
Decide how it should sound. Friendly and brief works for most small businesses. Tell it what not to do: no jokes about pricing, no promises about timelines, no advice outside your FAQ.
Handoff rules
Write three rules: when to hand off (complaints, emergencies, anything outside the FAQ), how (collect name and contact, then tell the visitor when they will hear back), and who gets it. Clear handoff rules are what separate a useful receptionist from an annoying bot.
Lead capture
Choose what details to ask for and when. Ask after the visitor gets a useful answer, not before. With our receptionist, every lead goes straight into KMS AI CRM, which is free for up to 300 deals and 1 user, so follow-ups do not live in an inbox. Then embed the widget on your site and test it with ten real questions from past customers.
If you would rather build your own chat assistant, our no-code guide to building a custom AI chatbot walks through that route.
Best AI receptionist options by channel
| Option | Channel | Setup time | Monthly cost | Human handoff | Lead capture to CRM |
|---|---|---|---|---|---|
| Smith.ai AI Receptionist | Phone | Self-serve, onboarding on Pro | Free for 25 calls; Pro from $150 | Yes, to live receptionists | Yes, integrations |
| Goodcall | Phone | Self-serve | From $79 per agent | Transfers to your team | Yes |
| Dialzara | Phone (chat add-on) | White-glove onboarding included | From $29 for 60 minutes | Call routing | Yes, CRM and calendar |
| My AI Front Desk | Phone, web chat, SMS | Vendor says about 5 minutes | $99, 200 minutes | Transfers | Built-in CRM, Zapier |
| Synthflow | Custom voice agents | Scoped project | Enterprise, from $30,000 a year | Custom escalation paths | Custom integrations |
| KissMySkills AI Receptionist | Website chat only | About 30 minutes | Part of All-Access, $15 a month | Passes to your team | Yes, into KMS AI CRM |
Where the others win. For phone-heavy businesses, voice agents win outright: if your customers call, a chat widget will not catch them, and we do not answer phones yet. Smith.ai stands out for live human backup. Synthflow wins for teams that want to build custom voice flows with their own logic and integrations, if they have the budget. If you are looking for a Synthflow alternative at small-business prices, the ready-made phone receptionists above are the realistic options.
Where ours fits. If your inquiries mostly start on your website, the KissMySkills AI Receptionist answers visitors from your own FAQ, captures the lead and drops it into your CRM. It is part of the All-Access subscription ($15 a month or $129 a year), together with KMS AI CRM and the other KissMySkills tools, and it works with Claude and ChatGPT through the KissMySkills connector. More options for smaller businesses are in our AI receptionist for small business guide.
Measuring it: missed inquiries, lead capture rate, response time
Track three numbers for the first month:
- Missed inquiries. Before: calls to voicemail and visitors who left without contact. After: how many of those now get an answer. This is the number that pays for the tool.
- Lead capture rate. Conversations that end with a name and contact, divided by all conversations. If it is low, move the contact question later or make the answers more useful first.
- Response time. Time from first message to first useful answer, and from handoff to a human reply. AI makes the first one instant; the second one is still on you.
Read 20 transcripts a week for the first month. Every wrong or vague answer is a missing line in your knowledge base. Fix it and the receptionist improves the same day.
FAQ
Can AI answer phone calls?
Yes. AI phone receptionists such as Smith.ai AI Receptionist, Goodcall, Dialzara, My AI Front Desk and Rosie answer calls with an AI voice, answer common questions, take messages and book appointments. Some can transfer to a human. Website chat receptionists, including the KissMySkills AI Receptionist, do not answer calls; they answer visitors on your website.
How do you set up an AI receptionist?
Write your top 20 questions and answers plus hours, services, prices and booking details; set the tone; write handoff rules for complaints, emergencies and unknown questions; decide which contact details to collect; then connect it to your phone line or embed the chat widget on your site and test it with real customer questions. Most small businesses can do this in about 30 minutes.
Are AI receptionists legal?
In the US, using an AI receptionist is generally legal, but rules on call recording, consent and disclosure vary by state, and regulated industries such as healthcare and law have extra privacy and advertising rules. Tell callers or visitors they are talking to an AI, avoid collecting sensitive data you do not need, and check your state's rules or ask your attorney. This is not legal advice.
Is an AI receptionist worth it?
It is worth it if you are losing inquiries to voicemail, slow replies or after-hours website visits. Count the inquiries you miss in a week and what one new customer is worth; if the tool saves even one lead a month, it usually pays for itself. If your calls are complex or emotional, pair AI with a human handoff.
Train the AI Receptionist on your FAQs and put it on your site today. Start from the AI Receptionist page, or ask Claude or ChatGPT to set it up for you through the KissMySkills connector.
