The "min. realistic team" and implementation columns are our judgment, not Salesforce's. Salesforce does not publish implementation costs because they depend on your partner and scope. The point is directional: the higher you go, the more you need a dedicated admin or partner to get value out of it.

What a small business really pays (licences + implementation + admin)

The Salesforce cost per user on the pricing page is only the first line. For a 5-person team, here is the licence math for year one:

  • Starter Suite: 5 × $25 × 12 = $1,500
  • Pro Suite: 5 × $100 × 12 = $6,000
  • Core: 5 × $195 × 12 = $11,700

Then add the costs that do not appear on the pricing page:

  • Implementation. Starter Suite is designed for self-setup. Pro Suite and above usually need someone who knows Salesforce to configure objects, fields, page layouts, automation and reports. Small teams often hire a Salesforce partner for this; the cost depends on scope and can easily exceed the first year of licences on Core.
  • Admin time. Salesforce rewards ongoing care: new fields, cleaned data, updated flows, user management. Larger companies hire a full-time admin. A small team usually gives the job to an ops person, which costs hours every week.
  • Add-ons. AI (see below), extra storage, CPQ for quoting, and many AppExchange apps are paid separately.

A worked example

Take a 5-person team (three reps, a sales lead and an ops manager) on Pro Suite. Licences are $6,000 for the year. Add a modest partner setup and a few hours a week of the ops manager's time on admin, and the real first-year cost is a multiple of the licence line. Move the same team to Core with Agentforce and licences plus the AI add-on alone reach $19,200 before any setup. None of this makes Salesforce a bad product. It means the number to compare against other CRMs is the full year-one total, not the price per user.

Salesforce's AI has gone through several names. Salesforce Einstein AI was the original brand for predictions and scoring; Agentforce is the newer platform of AI agents that can take actions in the CRM. On the current pricing page:

  • Starter Suite and Pro Suite include automatic syncing of emails, events and contacts, but no premium AI features.
  • Core and Advanced include limited AI (activity capture, lead scoring and opportunity scoring). More AI can be purchased.
  • Max includes the full AI suite, Agentforce for Sales and an allowance of Flex Credits per org per year.
  • Agentforce for Sales as an add-on is listed from $125 per user per month.

So for a 5-person team on Core that wants Agentforce, the AI add-on alone would be about 5 × $125 × 12 = $7,500 a year on top of $11,700 in licences. That is before usage-based credits for heavy agent work. If AI is the main reason you are looking at Salesforce, ask for a written quote that includes it.

When Salesforce is worth it

Salesforce is the market leader for good reasons. It is the safer choice when you need:

  • Deep customisation. Custom objects, complex flows and data models that match an unusual business.
  • Enterprise security and compliance. Fine-grained permissions, audit trails, data residency options and certifications that big customers ask about.
  • The ecosystem. AppExchange has an app for almost everything, and there is a large market of admins, developers and partners.
  • Scale. Hundreds of reps, territories, complex quoting (CPQ) and forecasting across regions.

If you need CPQ, territory management or complex permissions now, not "someday", Salesforce is the safer bet and the cost is justified.
