A custom AI chatbot costs anywhere from $0 a month for a hosted widget on a free tier to tens of thousands of dollars for an agency build wired into your systems. The build option sets the upfront price, but three things decide most of the real cost: how many systems the bot has to connect to, how much context it sends with every message, and who keeps its answers correct after launch. You can estimate the running cost yourself in five minutes, and you should, before you accept any quote.
What are the four ways to get a custom chatbot, and what does each cost?
| Option | Upfront | Monthly | What you get |
|---|---|---|---|
| Hosted widget (SaaS) | None | From $0 on free tiers, rising with conversation volume | A bot trained on your pages, live in minutes, limited customisation |
| Do it yourself with Claude | Your time | AI usage plus hosting | Exactly what you build; you maintain it |
| Freelancer | Hours x hourly rate | AI usage, hosting, any retainer | A custom bot; quality depends heavily on the spec you give |
| Agency | Highest, often fixed-price projects | AI usage, hosting, support contract | Integrations, design, testing and someone accountable |
We are not quoting typical freelancer or agency figures here, because rates vary by country and scope more than any average can capture. The honest method is arithmetic: estimate hours for each piece of scope (below) and multiply by the rate you are offered. A 40-hour build at $50 to $150 an hour is $2,000 to $6,000; integrations are what turn 40 hours into 200.
What actually drives the price?
- Integrations. A bot that only answers questions from your pages is small. One that books into your calendar, reads order status from Shopify, writes leads into a CRM and checks stock is several projects, each with its own authentication, error handling and testing.
- The conversation design. Happy paths are quick. Misunderstandings, handover to a human, multi-turn corrections and confirmations before anything irreversible are where design hours go. A written spec cuts this cost more than anything else.
- Channels. Website chat, WhatsApp, Instagram DMs and email each have their own APIs and rules. Each additional channel is closer to a new build than a setting.
- Languages. Translating the bot copy is cheap; testing that it answers correctly in each language is not.
- Compliance. Personal data, health or financial information, consent logging and data residency add review and engineering time.
- Keeping it right. Prices, hours and policies change. Someone has to update the bot's knowledge and check its answers every month. This is the cost most quotes leave out.
A conversation designer who starts with the failure paths: misunderstandings, the moment to hand off to a human, confirmations before anything consequential. Use her to write the spec before you pay anyone to build.
Get Anouska →How do you estimate the monthly AI bill yourself?
AI models charge per token, roughly three-quarters of a word. Every message sends the instructions, the relevant knowledge and the conversation so far, and gets back a reply. The formula is short:
A worked example with assumptions you should replace with your own: a model priced at $3 per million input tokens and $15 per million output tokens (check your provider's current price list), 6 messages per conversation, 3,000 input tokens per message (instructions plus knowledge plus history) and 150 output tokens per reply.
- Input: 6 x 3,000 = 18,000 tokens = $0.054
- Output: 6 x 150 = 900 tokens = $0.0135
- About $0.07 per conversation, so 1,000 conversations a month is roughly $70 in model usage, before hosting.
Notice where the money is: input, because the instructions and knowledge are re-sent every message. Halve the context and you nearly halve the bill. Our token cost calculator shows the same effect for repeated instructions in everyday chat use.
How do you get a quote you can compare?
Quotes are hard to compare because each vendor imagines a different bot. Send everyone the same spec. Claude can write it from a short description:
The last list is what keeps quotes honest. A low build price with a high monthly fee, or with every answer change billed as a change request, is common. So is a bot you cannot take with you when the contract ends.
The instruction set for a support bot: answering from your policies, refusing what it should not handle, and passing the conversation to a person with the context attached.
Get the Customer Service Chatbot Prompt →When is a hosted widget enough?
For most small businesses whose visitors ask about prices, hours, location and availability, a custom build is more than they need. Our AI Receptionist is one example of the hosted route: your Claude reads your public pages through the KissMySkills connector, drafts answers from your own prices, hours and policies, and gives you one line of code for your site. It answers, books visits into free slots and passes everything else to you as a lead.
- Free plan: $0, 50 conversations a month on one website, lead capture included, with a small "Powered by KissMySkills" line.
- AI CRM: $15 a month, 1,000 conversations a month with no branding, plus the other AI CRM apps.
It is website chat only and does not answer phone calls. When you need deep integrations with your own systems, custom channels or strict data residency, that is when a freelancer or agency build earns its price. Our guide to adding an AI chatbot to WordPress compares the hosted and do-it-yourself routes in practice.
Buying a file is the right call if you need one specialist once. If you need the chatbot copy, a support playbook and a CRM brief as well as the bot, the KissMySkills Library is cheaper: one connector puts all 2,500+ skills, prompt packs and agents inside Claude, ChatGPT, Claude Code or Cursor, and the skill loads when you ask for it by name. Library is $9 a month or $59 a year, starts with a free trial, no card needed, and you can cancel anytime.

Two ways. With a one-time file, add it in the Claude app under Customize → Skills (code execution has to be on, under Settings → Capabilities), or paste its contents into a Claude Project's instructions, a ChatGPT custom GPT or a Gemini Gem. Our step-by-step install guide covers each app. With Library, you connect KissMySkills to Claude, ChatGPT or Cursor once, then ask for the specialist by name in the chat you already use.
In summary:
A custom chatbot costs what its integrations, conversation design and upkeep cost; the AI usage itself is usually cents per conversation and you can estimate it with one formula. Write a spec first, ask every vendor the same questions, and start with a hosted widget such as the AI Receptionist (free for 50 conversations a month) if visitors mostly ask about prices, hours and bookings. For the spec itself: Anouska ($19).

Anouska - Chatbot Designer AI Skill

Frequently asked questions
How much does it cost to build a custom AI chatbot?
From nothing upfront for a hosted widget to tens of thousands for an agency build with integrations. For a freelancer, estimate hours per piece of scope and multiply by the hourly rate. Integrations, conversation design and ongoing upkeep drive most of the cost.
How much does an AI chatbot cost per month to run?
Model usage is usually cents per conversation. Multiply messages per conversation by input and output tokens and the provider price. For example, at $3 and $15 per million tokens, a six-message conversation with 3,000 input tokens per message costs about $0.07.
Why are chatbot quotes so different from each other?
Each vendor imagines a different bot. Send the same written spec to everyone, listing integrations, channels, handover rules and volume, and ask each for an itemised monthly running cost and who owns the code and data.
Is a free chatbot good enough for a small business?
Often, if visitors mostly ask about prices, hours, location and booking. The KissMySkills AI Receptionist free plan covers 50 conversations a month on one website with lead capture; AI CRM at $15 a month covers 1,000.
What hidden costs should I watch for in a chatbot contract?
Change requests for every answer update, a monthly fee that grows with volume, no ownership of the prompts or conversation data, and no plan for when the AI provider is down. Ask about each before signing.
