    How to add it to your email

    1. Click Copy signature above.
    2. In Gmail on a computer, open the gear icon, then See all settings.
    3. On the General tab, scroll to Signature and click Create new. Give it a name.
    4. Click into the signature box and paste (Ctrl+V or Cmd+V).
    5. Under Signature defaults, pick it for new emails and replies, then click Save Changes at the bottom of the page.

    Gmail limits a signature to 10,000 characters. The Gmail mobile app uses its own plain-text signature.

    What makes a good email signature

    An email signature is the block of contact details at the bottom of every email you send. People read it in a second, so the best ones are short: your name, your role, the company, one or two ways to reach you and a link to your website. Three to six lines is plenty.     How to use the generator

    1. Fill in your details. Only the fields you fill in appear. Leave the mobile or department empty and the signature has no empty line or stray separator.

    3. Set the accent color and font. Fonts are limited to web-safe families such as Arial, Georgia and Verdana, because those are installed on almost every computer. A custom brand font would fall back to something random on the recipient side.

    Gmail signature and Outlook signature tips

    Gmail

    Paste the signature in Settings, on the General tab. Gmail keeps tables, colors and links, but it does not let you upload an image file into the signature. Images have to come from a public URL, which is why the generator asks for an https link. Keep the total under the 10,000 character limit; every template here stays far below it.

    Outlook

    The new Outlook and Outlook on the web store signatures in the account settings. Classic Outlook for Windows uses Word to display email, which ignores modern CSS such as flexbox, grid and rounded corners. That is the reason this tool builds every signature from simple HTML tables with inline styles, width attributes and zero cell padding: it is the layout method Outlook handles reliably.

    Apple Mail

    Create a new signature in Mail settings, untick "Always match my default message font" and paste. If you skip the checkbox, Mail replaces your font and colors with its defaults.

    Why logos and icons break in email

    Most broken signatures come down to images. Email clients do not carry image files the way a website does. Each time someone opens your email, their app downloads the picture from the address in the signature. If that address points to a file on your laptop, a private drive or an http page, the recipient sees a broken box or nothing at all. Embedded base64 images are stripped by Gmail and flagged by some spam filters.

    • Host your photo or logo on your own website or a public file link that starts with https://.
    • Use a small file, ideally under 100 KB, and a width of 60 to 160 pixels.
    • Expect some recipients to block images until they click "show images". Your name and contact details are text, so they always show.

    Social icons have the same problem, plus a privacy one: icon images loaded from third-party servers can be blocked, and they tell those servers when your email was opened.     Why does my logo or photo not show in emails?

    The image must be hosted at a public https address. Email clients download the image every time the email is opened, so a file from your computer, a private drive link or an embedded image will not show for recipients.     How do I add an HTML signature to Gmail?
