      How to write a checklist people actually use

      A checklist fails in one of two ways: nobody opens it, or it is so long that people tick boxes without doing the work. This free checklist maker handles the format: sections, progress bars, printing and sharing. The writing is up to you. These rules keep a checklist short enough to use and specific enough to trust.

      Start every item with a verb

      "Passport" is a note. "Check passport expiry date" is an action. Starting with a verb (book, pack, confirm, send, test, label) tells the reader what done looks like, and it makes it obvious when one line is really two jobs.

      One action per item

      "Book movers and cancel the internet" hides a second task that will be ticked when only the first one is done. Split it. If an item needs a detail, such as a phone number, an account reference or a deadline, put it in the item note instead of making the line longer.

      Group items into sections

      Sections turn a long list into small batches. Group by time (8 weeks before, moving day), by place (kitchen, bathroom) or by owner (IT, manager, new hire). Each section here has its own progress bar, so you can see which part is stuck. Aim for roughly 5 to 10 items per section; past that, split it.

      Do-confirm vs read-do checklists

      Checklists used in aviation and surgery come in two styles, and picking the right one changes how you write the items.

      • Read-do. You read an item, do it, then move to the next one. Best for tasks you do rarely or that must happen in a fixed order, such as setting up a new laptop or launching a website. Items can be more detailed, and the order matters.
      • Do-confirm. You do the work from memory, then stop at a pause point and run through the list to confirm nothing was missed. Best for routine work done by people who know it well, such as a weekly cleaning round or a pre-publish check. Items should be short and cover only the steps that are easy to forget or costly to skip.

      If people say a checklist is slow, it is often a read-do list used by someone who needed a do-confirm list. Cut it down to the critical steps.

      Keep it short

      Every item you add makes the others easier to skip. A useful test: if nobody has ever forgotten a step, and forgetting it would not cause a problem, take it off. Leave out the obvious ("open the laptop") and keep the steps that hurt when missed ("check the domain renews automatically"). When a list grows past one printed page, look for a section that could become its own checklist.

      Give each list a pause point, a clear moment when it gets used: before you leave the house, before you press publish, at the end of day one. A checklist without a moment to use it gets forgotten.

      When a checklist should become an SOP

      A checklist reminds someone who already knows how to do the work. A standard operating procedure (SOP) teaches someone who does not. Signs you have outgrown a checklist: items keep collecting notes that explain how, new people ask the same questions, or the task needs decisions ("if the payment fails, then..."). At that point, keep the checklist as the short version and write the steps, owners and exceptions into an SOP.       Is this checklist maker free?

      Yes. There is no sign-up and no limit on the number of checklists. Everything runs in your browser, and your checklists are saved only in this browser's local storage. Nothing is uploaded.

      How do I print a checklist or save it as a PDF?

      Click Print / Save as PDF. Choose one or two columns and whether ticked items print as ticked. In the print dialog, pick Save as PDF as the destination to get a PDF file.

      Can I share a checklist with someone?

      Yes. Share link puts the whole checklist into the link itself, after the # sign, so no server stores it. Very long checklists do not fit in a link; copy the text or download the .md file instead. When someone opens your link, the tool asks before adding it to their saved checklists.

      Can I paste a list I already have?

      Yes. Open Bulk paste and paste one item per line. Lines starting with # or ending with a colon become sections, and lines starting with - [x] are marked as done. Markdown task lists from Notion, GitHub or Obsidian paste cleanly.
