How to use these templates with AI

Every template on this page follows the same pattern. First you get a short note on when you actually need the document. Then the structure itself, section by section: that list is the template. Then a prompt you paste into any AI model, with the bracketed fields swapped for your own facts. 1. SOP template (standard operating procedure)

When you need it

You need an SOP when a task is done by more than one person, or when the one person who knows it might be on holiday. Onboarding, compliance audits, customer support handoffs and anything a franchise or agency repeats across clients all call for one. If a task has never gone wrong, you probably do not need an SOP yet.

Structure

  • Title and SOP number: a unique ID, version and effective date.
  • Purpose: one or two sentences on what the procedure achieves and why it exists.
  • Scope: who and what the SOP covers, and what it explicitly does not.
  • Roles and responsibilities: each role involved and what it owns.
  • Definitions: terms and abbreviations a new hire would not know.
  • Prerequisites: tools, access, materials and conditions needed before step one.
  • Procedure: numbered steps, one action per step, with the expected result of each.
  • Quality checks: how you know the step was done right, and what to do if it was not.
  • Safety, compliance or escalation notes: where relevant.
  • Related documents: forms, policies, other SOPs.
  • Revision history: date, author, what changed.

2. SWOT analysis template

When you need it

A SWOT is a one-page snapshot before a decision: entering a market, launching a product, writing a business plan, or preparing for a strategy meeting. It is only useful if every item is specific. "Strong team" is not a strength; "two engineers with prior payments-compliance experience" is.

Structure

  • Subject and date: what exactly is being analysed (a company, a product line, a decision) and as of when.
  • Objective: the decision this SWOT should inform.
  • Strengths (internal, positive): 4 to 6 items, each with the evidence behind it.
  • Weaknesses (internal, negative): 4 to 6 items, stated honestly.
  • Opportunities (external, positive): market, regulatory, technology or competitor shifts you can use.
  • Threats (external, negative): what could hurt you regardless of what you do.
  • Cross-analysis: which strengths address which threats, which weaknesses block which opportunities.
  • Top 3 implications: the actions or decisions the analysis points to.

3. Meeting agenda template

When you need it

Any meeting with more than two people, a decision to make, or a cost above a few hundred dollars in salary time. An agenda sent the day before cuts the meeting by a third because people arrive having done the thinking.

Structure

  • Meeting title, date, time, location or link
  • Purpose: one sentence, and the single outcome that would make the meeting a success.
  • Attendees: required and optional, with the owner (facilitator) named.
  • Pre-reads: what to read or prepare beforehand, with links.
  • Agenda items: for each, the topic, the owner, the time box in minutes, and the type (inform, discuss, decide).
  • Decisions needed: listed explicitly so nobody leaves unsure whether a decision was made.
  • Parking lot: where off-topic items go.
  • Next steps and note-taker: who captures actions and where they will be posted.

4. Proposal template

When you need it

A proposal is for a prospect who has a problem and is choosing between you, a competitor and doing nothing. You need one whenever the sale is above a quick email quote, and always when responding to an RFP. The structure below works for both a two-page consulting proposal and a forty-page tender response; the sections stay the same, the depth changes.

Structure

  • Cover and summary: client name, date, one paragraph stating their problem and your proposed result.
  • Understanding of the need: their situation in their words, showing you listened.
  • Objectives and success criteria: what done looks like, measurably.
  • Proposed approach: phases or workstreams, what happens in each, and why this way.
  • Deliverables: the concrete things they receive, listed.
  • Timeline and milestones: dates or week numbers per phase.
  • Team and relevant experience: who does the work, with one or two comparable projects.
  • Investment: pricing, payment schedule, what is included and excluded.
  • Assumptions and dependencies: what you need from the client for the plan to hold.
  • Terms and next steps: validity period, acceptance method, the first action after signing.

5. Budget template

When you need it

You need a budget when money will be spent over time by more than one line item and someone will later ask where it went. Annual department budgets, project budgets, launch budgets and small-business operating budgets all share the same skeleton. A budget without a variance column is a wish list.

Structure

  • Header: budget owner, period covered, currency, version and approval status.
  • Assumptions: headcount, prices, growth rates, exchange rates, anything the numbers depend on.
  • Revenue or funding: by source, by month or quarter.
  • Fixed costs: rent, salaries, subscriptions, insurance.
  • Variable costs: cost of goods, contractors, marketing spend, transaction fees.
  • One-off costs: equipment, setup, legal.
  • Contingency: a stated percentage and what it may be used for.
  • Totals and cash position: net per period and cumulative.
  • Budget vs actual columns: planned, actual, variance, and a note per material variance.
  • Review cadence: who reviews it, how often, and what triggers a re-forecast.

6. Project plan template

When you need it

A project plan is needed when the work has a defined end, more than one person, and dependencies between tasks. If you could describe the whole thing in a five-item checklist, do that instead. Once there are milestones other people are waiting on, use the structure below.

  • Background and objective: why the project exists and the one result that defines success.

  • Risks and mitigations: top 5 to 8 risks, each with likelihood, impact and a response.
  • Budget summary: a link to, or a one-line total from, the budget template above.
  • Communication plan: status cadence, channel, audience.
  • Change control: how scope changes are requested and approved.
