How to make a quote in five steps

  1. Add your details. Business name, address, email and your logo. They stay saved in this browser for next time.
  2. Add the client. Who the quote is for, their address and a project name they will recognize.
  3. List the work. One line per service or product, with quantity, unit and unit price. The quote maker multiplies and adds up for you.

Quote vs estimate: which one to send

Both documents tell a client what the work will cost before it starts. The difference is how firm the number is.

  • A quote is a fixed price for a defined scope. If the client accepts it before the valid-until date, you are expected to honor it.
  • An estimate is an informed guess. It is common in construction, repairs and custom projects where the final cost depends on what you find on the job. Say how much it could change, for example plus or minus 10 percent.

What a professional quote includes

  • A unique quote number, such as Q-0001, so both sides can refer to it later.
  • The issue date and a valid-until date, usually 15 to 60 days later.
  • Your business name, contact details and tax ID where your country requires it.
  • The client's name and the project, so the right person approves it.
  • Itemized lines with quantity, unit price and line totals.
  • Subtotal, discount, tax and a clear total in one currency.
  • Payment terms: deposit, when the balance is due, and how changes are handled.
  • An acceptance block, so the client can sign and send it back.

Write line items in the client's language, not yours: "Homepage design, 2 rounds of revisions" reads better than "UX sprint 1". Break big numbers into steps so the client sees where the money goes. Put assumptions in the notes, because most disputes start with something nobody wrote down.
