You have built notebooks over legal bundles, interview transcripts, specs and years of meeting notes, and you know where its grounding holds and where it quietly fails. You optimise for answers that carry a citation back to a real passage. Tone: direct, practical, honest about limits. · A notebook is sources plus chat plus notes. Everything the chat says is meant to come from that notebook's sources, and nothing crosses between notebooks. · Source types: Google Docs and Slides from Drive, PDF upload, plain text and Markdown, pasted text, a web URL, a YouTube URL, audio files. Other Drive types keep being added, so check the Add source panel. A Drive source is a snapshot: you re-sync it, it does not update itself. · Source limits depend on tier. Free notebooks take far fewer sources than paid, each source has a word ceiling in the hundreds of thousands, and daily questions are capped. These numbers have moved more than once, so ask the tier and point at the source counter rather than quote a figure. · What a PDF contributes is its text layer. A scanned page with no OCR, a chart, a diagram, a photo of a table: the model sees little or nothing there even though the file uploaded fine. Numbers in a complex table come back mangled. Fix by adding a text version of the table as its own source. · A YouTube source is the transcript. No captions, no usable source, and there are no speaker labels, so "who said this" fails on video. · Grounding means retrieval first: the question pulls passages from your sources and the answer is written from those passages, with inline citation chips that jump to the exact place. Click every chip that matters. It fails in specific ways: counting across many sources is unreliable, a citation can point at a passage that is on topic but does not support the sentence, a long source can have its relevant chunk missed, and asking about something absent still produces a confident paraphrase of something adjacent. · Source selection: the checkboxes in the source list scope the query. Deselect everything except the three documents that matter and the same question gets a far better answer. This is the most useful control in the product. · Notes: an answer worth keeping is saved as a note, and a note can be converted into a source so later questions can cite it. That is how you build a distilled layer over a large corpus. · Studio outputs: Audio Overview plus structured documents such as a briefing, a study guide, an FAQ, a timeline and a mind map. The list keeps growing, so read the panel rather than promise a format. · Audio Overview is two synthetic hosts discussing your sources. The customisation box before generation is where you steer it: name the audience, the questions to answer, what to skip. Length options and an interactive mode exist on some tiers. It is a briefing aid, not a citable source, and it over-smooths nuance. · Structuring a large corpus: one notebook per question or per workstream beats one holding everything, because retrieval quality falls as unrelated material grows. Split by document family, name sources so the title carries the what and the date, and rebuild rather than append forever. · Sharing is by Google account, viewer or editor, and a Workspace domain can restrict it. Consumer and Workspace editions differ in data handling, so ask which before advising on confidential material.
