A real finance team does five jobs. Most small businesses do one of them, badly, once a quarter, in a panic. An AI chat cannot be your accountant and should never touch a tax filing, but it can do the part that actually fails: turning the numbers you already have into something you understand, on a schedule you keep. This is educational and organisational support, not regulated financial, tax or investment advice - a qualified accountant still signs off on anything with legal or tax consequences.

What a finance team actually does that you are not doing

"I need to get on top of my finances" is not a task, which is why it never gets done. Split it into the five jobs a finance function performs, and it becomes obvious which ones you have quietly dropped.

An AI chat is close to useless at the first one, because recording is a data-entry and bank-feed problem that bookkeeping software already solves. It is genuinely useful at the other four, because those are reading, structuring and asking-the-right-question problems. Point it at the wrong job and you will conclude it does not work.

Fix this one first: profit is not cash

More small businesses die of this than of being unprofitable. The profit and loss says you earned it. The bank account says you do not have it. Both are correct, and the gap between them has three usual causes: invoices issued but not paid, stock or materials bought with cash that have not sold yet, and money that left as a loan repayment or a tax bill, which a profit and loss does not show as an expense.

Illustrative example, and the numbers are invented: a month shows 40,000 of revenue and 6,000 of profit. In the same month 22,000 of those invoices are still unpaid, 5,000 went into stock sitting in a garage, and 4,000 went out as a VAT payment. You were profitable and you are 25,000 lighter in the bank. Nobody is lying to you; you are reading the wrong statement.

This is the single highest-value thing to have explained back to you in plain language, against your own figures, until it clicks. It is also the thing an AI chat is best at, because it is explanation rather than calculation.

Prompt 1 - explain my own numbers to me, in plain words

I run a [BUSINESS TYPE] with [HEADCOUNT] people in [COUNTRY]. Below is my profit and loss for [PERIOD], and under it my opening and closing bank balance for the same period. Explain it to me as if I have never read one. Specifically: 1. In one sentence, did the business make money in this period? 2. Reconcile the profit figure to the change in my bank balance. List every reason they differ, largest first, and say which line in my data each reason comes from. 3. Name the three largest costs and say what percentage of revenue each one is. 4. Point at anything that looks unusual compared with the rest of the period, and say plainly that you do not know why. Rules: use only the figures I pasted. Do not estimate, do not benchmark me against other businesses, do not give tax advice. If a figure I need is missing, say which one and stop. The weekly half hour that replaces the quarterly panic

Finance goes wrong because it is done in bursts. The fix is boring and it works: a fixed slot, the same four questions, every week. Thirty minutes, same day, in the calendar as a real appointment.

  1. What came in and what went out this week? Read it, do not just look at the balance.
  2. Who owes me money, and how old is it? Anything over 30 days gets a message today, not a note to send one.
  3. What is committed but not yet paid? Subscriptions, payroll, the tax bill with a date on it.
  4. What is the lowest my bank balance will get in the next eight weeks? This is the only forward-looking number that matters.

That last question is the whole of cash management at this size. Done weekly, it sees a squeeze coming eight weeks out, which is enough time to chase, delay, or arrange something. Prompt 2 - the weekly review, run the same way every time

Run my weekly money review. Ask me for anything you are missing before you produce it, one question at a time. Inputs I will paste: this week's money in and out, my unpaid invoices with dates and amounts, and my known upcoming payments. Output, in this order and nothing else: 1. IN and OUT this week, and the net. 2. OVERDUE: every unpaid invoice past its due date, oldest first, with the number of days late. Draft a one-paragraph chase message for the oldest three, in a firm, unapologetic, non-hostile tone. 3. COMMITTED: what is contractually leaving in the next 8 weeks, by date. 4. THE LOW POINT: the week in the next 8 in which my balance is lowest, given only what I told you, and the figure. Show the week-by-week working so I can check your arithmetic myself. 5. ONE THING: the single action this week that most improves that low point. Do not offer tax, investment or borrowing advice. If something in my data looks like a deadline with legal consequences, flag it and tell me to confirm it with my accountant.

Where an AI chat helps, and where it will quietly hurt you

The distinction is not finance versus non-finance. It is language work versus arithmetic and obligation.

The arithmetic point is worth being blunt about, because it is the one that costs money. A model will add a column of figures and get it wrong while sounding completely certain, and the error is usually small enough to survive a glance. The safe pattern is to make it hand you the formula rather than the answer.

Prompt 3 - make it build the sheet, not the number

Do not calculate anything. I want a spreadsheet I can run myself. Build me a [13-week cash view / monthly budget / margin calculator] for a [BUSINESS TYPE] in [COUNTRY]. Give me: - the exact column headers and row labels, in order - for every cell that should be calculated, the spreadsheet formula in A1 notation, written out, not the result - a short note under each section saying what each row is for and where I get the figure from - a list of the rows small businesses in this situation most often forget Every cell I have to fill in myself should be marked [INPUT]. Output no numbers of your own anywhere.

Walking into the accountant prepared

Most small businesses pay a qualified professional to do data entry and then run out of budget before the advice. The way to flip that is to arrive with the records tidy and the questions written down. The questions are the expensive part and the part you are best placed to prepare.

Prompt 4 - the handover pack

I am meeting my accountant about [PERIOD / PURPOSE: year end, a first meeting, a specific decision]. Produce two things. A. A HANDOVER CHECKLIST of what they will almost certainly ask me for, grouped by where I get it from (bank, invoicing tool, payroll, receipts, loan or lease paperwork). Mark each item HAVE IT, NEED TO FIND, or NOT SURE WHAT THIS IS, and leave those blank for me to fill. B. A QUESTIONS LIST for the meeting, ordered by how much money the answer is likely to be worth to me. For each question say in one line why it matters. Include the questions a nervous owner tends not to ask because they assume everyone else already knows. Do not answer any of the questions in list B yourself. Do not tell me what any of it means for my tax. That is what the meeting is for.

This is the part of the page that matters most, so it is not buried in a footer. An AI chat is not an accountant, a tax adviser, an auditor or a regulated financial professional. It has no liability, no professional indemnity, no duty of care to you, and no reliable knowledge of the rule that changed in your jurisdiction this year.

Never use it for: a tax filing or return, statutory accounts, payroll calculations, a determination of employment status, anything you would sign, or a decision about borrowing, investing or restructuring. How do you install the Sophie skill?

The download is a ZIP with SKILL.md at the root of the archive, not inside a nested folder - that folder structure is the usual reason an upload fails. In the Claude desktop app, open Customize → Skills, upload the ZIP and toggle it on. Claude loads it whenever your request matches what it covers.

Where it fails

  • Arithmetic. The single biggest one. It will total a column, compute a margin or work out a VAT figure and be confidently wrong. Make it give you the formula.
  • Jurisdiction. It blends US, UK and EU rules unless you pin the country in every prompt, and even then it may be a year out of date.
  • Agreeableness. Ask whether your pricing is sensible and it will usually agree with you. Ask what would have to be true for your pricing to be wrong.
  • Invented benchmarks. Ask what a normal gross margin is for your industry and you will get a confident number with no source behind it. Treat any benchmark it offers as a search term, not a fact.
  • Your data. A bank statement is a list of who you pay, what you earn and where you shop. Decide what you are willing to paste into a consumer chat tier before you paste it, not after. Redacting account numbers is the minimum, not the whole answer.
  • Memory. A plain chat forgets your business between conversations, which is the difference between a tool and a team member - and the reason a loaded skill holds the context instead.
