What is a follow-up email generator?

Why your follow-up starts a new thread instead of continuing the old one

Threading is not a feature of your mail client’s reply button. It is three header fields defined in RFC 5322, and a follow-up sent as a fresh compose has none of them.

Every message carries a Message-ID, which the standard requires to be “a globally unique identifier for a message.” A genuine reply must put the parent’s Message-ID in In-Reply-To, and must build References from “the contents of the parent’s References field (if any) followed by the contents of the parent’s Message-ID field.” Get both right and the message lands inside the existing conversation. Omit them - which is what happens when a sequencing tool sends step two as a new message with the subject prefixed “Re:” - and by the standard it is a new thread that merely looks like a reply.

This matters more than it sounds. A threaded follow-up shows the recipient the original in one scroll, which removes the “what is this about” friction that kills replies. An unthreaded one arrives as a second cold email that opens with the assumption you have already met.

The same header discipline tells you when to stop. RFC 3834 governs automatic responses and specifies that a genuine out-of-office reply should carry Auto-Submitted: auto-replied. That header is the reliable machine signal that a human did not answer - far more dependable than matching subject lines for the word “vacation.” The same RFC recommends automatic responders send the same reply to the same sender no more than once in a period of several days, with seven days as the recommended default. If a vendor’s tool counts an out-of-office as a reply and drops the prospect from the sequence, it is misreading a header that was designed to be readable.

Reading the bounce instead of guessing at it

Follow-up sequences quietly burn sender reputation when they retry addresses that will never accept mail. SMTP tells you which is which, and the distinction is in the first digit of the reply code.

RFC 5321 defines a 4yz reply as a Transient Negative Completion: “the error condition is temporary, and the action may be requested again,” and the client “SHOULD try again.” A 5yz reply is Permanent: the client “SHOULD NOT repeat the exact request.” The enhanced status codes in RFC 3463 say the same thing at higher resolution - class 4 is a “Persistent Transient Failure” where “sending in the future may be successful,” class 5 is a “Permanent Failure” that “is not likely to be resolved by resending the message in the current form.” The familiar 5.1.1 is “Bad destination mailbox address - The mailbox specified in the address does not exist.”

Neither standard uses the words “hard bounce” or “soft bounce,” which is worth knowing when two tools disagree about a bounce classification: they are both applying their own labels over the same numeric code. The rule that actually matters is simple. A 5xx address should be removed after one attempt. A 4xx address may be retried - RFC 5321 recommends a retry interval of at least 30 minutes and a give-up time of at least four to five days, which is a much slower cadence than most follow-up sequences run.

You cannot tell whether they read it

Sequences are usually branched on opens, and opens are no longer a measurement of anything.

Apple’s Mail Privacy Protection, in Apple’s own description, “downloads remote content in the background by default - regardless of whether you engage with the email,” and routes that content through two relays so that the first knows your IP but not the content and the second knows the content but not your IP. In plain terms: for a recipient on Apple Mail with the feature on, an “open” fires whether or not a person ever looked at the message, and the IP and location attached to it are not theirs.

Gmail is a smaller but similar problem. Google states that “when your users open email messages, Gmail uses Google’s secure proxy servers to serve images that might be included in these messages.” Neither company claims to block tracking pixels; both describe behaviour that makes the resulting data about their infrastructure rather than about your recipient.

The practical consequence for a follow-up sequence: branch on replies, clicks, and bounces, which are real events, and treat the open rate as a directional number at best. A sequence that escalates tone because “you opened it three times and didn’t reply” may be scolding someone who never saw the message.

What this generator can’t do

It can’t thread the message. The generator writes the words. Whether the email arrives inside the original conversation depends on whether your sending tool sets In-Reply-To and References - check the raw headers of a test send rather than trusting the preview.

It can’t make you deliverable. Google requires all senders to authenticate with SPF or DKIM, publish valid forward and reverse DNS, use TLS, and keep Postmaster Tools spam rates below 0.30%; Yahoo asks for the same floor and, for bulk senders, DKIM with at least a 1024-bit key, DMARC that passes with From-header alignment, one-click unsubscribe, and unsubscribes honoured within two days. A follow-up that never reaches the inbox is a copywriting problem you cannot solve with copy.

It can’t tell you the right number of follow-ups or the right day to send. Every figure in circulation - three touches, five touches, Tuesday at 10am - traces back to a sequencing vendor’s private dataset about its own customers, not to anything you can verify. Your own reply data on your own list is the only number worth acting on.

It can’t decide when to stop. Continuing to chase someone who has ignored four messages is the fastest route to a spam complaint, and complaint rate is the metric mailbox providers actually enforce. The generator has no idea how many you have already sent.

It can’t read the room. A follow-up after a bad meeting, after a missed deadline on your side, or to someone who has just been made redundant needs judgement the tool does not have. Read the draft as the recipient before you send it.
