Power BI vs Tableau, the short answer: Power BI is the cheaper and easier pick for a small team that already lives in Microsoft 365, and Tableau is the better pick for analysts who want the most control over how a chart looks and behaves. Both are serious business intelligence tools. Both are more than most small teams need if their data is a handful of CSV exports.

This guide compares Power BI vs Tableau on price, learning curve, data connections, modelling and AI features.   • Pick Tableau if you have a dedicated analyst who will spend real hours designing dashboards, you care about visual flexibility, or your company already uses Salesforce.
  • Pick Looker Studio if your data lives in Google: GA4, Google Ads, Search Console, BigQuery and Sheets. The standard version is free.
  • Skip BI for now if your "data" is three CSV exports a month from Shopify, Stripe or your CRM. A CSV-to-dashboard tool gets you a shareable view in minutes, and you can move up to BI later.

Pricing

Prices checked October 2026 on each vendor's own pricing page. All prices are in US dollars, per user per month.

Power BI pricing

  • Power BI Desktop / free account: free. You can build reports on your own computer, but sharing them with others needs a paid licence.
  • Power BI Pro: $14 per user per month, billed annually. Lets you publish and share. It is included in Microsoft 365 E5 and Office 365 E5.
  • Power BI Premium Per User: $24 per user per month, billed annually. Everything in Pro plus larger models and more refreshes per day (48 instead of 8).
  • Microsoft Fabric capacity: variable pricing, reserved or pay as you go. This is the organisation-level option for bigger companies.

The catch for small teams: anyone who views a shared report usually needs a Pro licence too, unless the content sits on a large Premium or Fabric capacity. So "cheap" depends on how many people need to see the dashboard.

Tableau pricing

  • Standard edition: Creator $75, Explorer $42, Viewer $15 per user per month, billed annually.
  • Enterprise edition: Creator $115, Explorer $70, Viewer $35 per user per month, billed annually.
  • Tableau Public: free, but everything you publish is public. Fine for learning and portfolios, not for company data.

Every Tableau deployment needs at least one Creator licence. A team of one analyst and four people who only read dashboards pays for one Creator and four Viewers.

What a small team actually pays

Learning curve

Power BI feels familiar to anyone who knows Excel. The ribbon, Power Query for cleaning data and DAX formulas all borrow from the Excel world. Getting a first report built takes an afternoon. Getting good at DAX and data modelling takes weeks, and that is where most people get stuck: a measure that works in one visual and gives the wrong number in another.

Tableau starts with a drag-and-drop canvas. You drop fields on rows, columns and marks, and the chart changes as you go. Many analysts find it more natural for exploring data, because you see the shape of the data while you work. The hard part is later: calculated fields, level-of-detail expressions and dashboard actions take practice.

Our honest read: for a manager who needs a monthly report, Power BI is quicker to get something useful. For an analyst who will spend most of the week in the tool, Tableau rewards the time more.

Data connections and modelling

This is where both tools earn their price, and where simple tools like ours cannot compete.

  • Connectors. Both connect to hundreds of sources: databases, data warehouses, cloud apps and files. Power BI is strongest with Microsoft sources (Excel, SharePoint, Dataverse, Azure, SQL Server). Tableau is strong with Salesforce and with major cloud warehouses.
  • Modelling. Power BI has a full data model: relationships between tables, a star schema, and DAX measures that everyone reuses. Tableau has relationships and data sources too, plus Tableau Prep for cleaning.
  • Refresh. Both can refresh on a schedule from live sources. Power BI Pro allows 8 scheduled refreshes a day, Premium Per User allows 48.
  • Governance. Row-level security, certified datasets, workspaces and audit logs are standard in both. This matters as soon as a sales rep should only see their own region.

If you need any of the above, you need a BI tool. A CSV dashboard does not do relationships across ten tables, does not refresh from your SQL database, and does not have row-level security.

AI features (Copilot vs Tableau AI)

Copilot in Power BI can draft report pages, summarise a report in plain words and answer questions about your data. The catch is licensing: according to Microsoft's documentation, Copilot needs the workspace to sit on a paid Fabric capacity (F2 or higher) or Power BI Premium (P1 or higher). A Pro or Premium Per User licence alone is not enough, and trial capacities are not supported. An admin also has to switch it on for the tenant.

Tableau's AI includes Tableau Agent (help with calculations, building visuals and data prep) and Tableau Pulse (metric summaries pushed to users). Tableau Agent is part of Tableau Cloud+ Edition and the Tableau+ bundle, which are sold above the standard editions. Pricing for those is not listed as a simple per-seat number, so expect a sales conversation.

For a small team, the practical point is the same for both: the AI features sit on the more expensive plans. If AI help is the main reason you are looking at BI, check whether the plan you can afford includes it before you commit.

Looker Studio vs Power BI

Looker Studio is Google's free dashboard tool. Google has recently renamed it back to Data Studio, but most people still search for it as Looker Studio, so we use that name here.

  • Price: the standard version is free. A Pro version adds team workspaces and admin controls with a per-user monthly licence; Google lists the price on its marketing page.
  • Data: excellent for Google sources (GA4, Google Ads, Search Console, BigQuery, Sheets). Many other sources need third-party connectors, often paid.
  • Modelling: lighter than Power BI. Blending data from several sources works, but there is no real data model and no DAX-style measures.
  • Sharing: shared like a Google Doc. No viewer licences.

Looker Studio vs Power BI comes down to where your data lives. Marketing teams on Google data should start with Looker Studio. Finance and operations teams on Microsoft data should start with Power BI.

People searching for a Power BI alternative or a Tableau alternative usually want one of three things: lower cost, less complexity, or open source. Here are the options worth a look.

Qlik

Qlik Cloud Analytics is a full BI platform with its own associative engine, which makes it good at letting users click around and see related values. Qlik vs Power BI is mostly a question of price and ecosystem: Qlik's Starter plan is listed at $300 a month for 10 users, billed annually, and the Standard plan is priced by data capacity. It is a good fit for companies that already have Qlik skills in-house.

Metabase

Metabase is open-source BI. If you have someone who can run it on a server and connect it to your database, the open-source version is free. Hosted plans start at $100 a month (Starter) and go up to Pro at $575 a month. It is a favourite with startups that keep their data in Postgres or MySQL, because non-technical people can ask simple questions without writing SQL.

AI dashboard generators

A newer category: you upload a file or connect a sheet, describe what you want, and AI picks the charts. These tools trade depth for speed. They are right when the data is a single exported table and the goal is a shareable view this week, not a governed reporting system. Do you need BI at all? The CSV test

Before you buy licences, answer four questions honestly:

  1. Where does your data come from? If it is one or two exports a month (Shopify orders, Stripe payments, a CRM report), you have files, not a data platform.
  2. How many tables do you need to join? If the answer is "none, it is one sheet", you do not need a data model.
  3. How fresh does it need to be? Weekly or monthly is fine with a manual upload. Hourly needs a live connection, which means BI.
  4. Who needs to see it, and does anyone need to see only part of it? Five people who see everything can use a share link. Fifty people with regional permissions need BI governance.
