What your invoice agent handles

  • Invoice data extractionReads PDFs, scans and photos of invoices and receipts and pulls out supplier, invoice number, dates, line items, amounts and tax into a structured entry. Fields it can’t read clearly are flagged, not guessed.
  • Coding and matchingSuggests the account, cost centre and tax code from your rules and past entries, and matches invoices to purchase orders or delivery notes where you use them.
  • Accounts payable automation, with approvalPrepares bills in QuickBooks, Xero or your ledger and sends them to the right approver. Nothing is posted or paid until a person approves it.
  • Checks before anything is postedFlags possible duplicates, totals that don’t add up, changed bank details and invoices from new suppliers, so your team looks at the exceptions first.

Which accounting software and inboxes does it work with?

We build on what you already use: QuickBooks, Xero, Excel or Google Sheets, a shared inbox or a document folder, with ChatGPT or Claude underneath where it fits. If your ledger or approval tool is different, describe it and we tell you honestly what can connect before the pilot.

Who checks the numbers?

Your team. The agent extracts, suggests and prepares; posting, approving and paying are done by a person. It flags what it is unsure about instead of guessing, and it does not give tax advice: tax codes follow the rules your firm sets.
