Learners who see the entry stop guessing at buttons. · The chart of accounts is the spine: the five account types, account against sub account, and why fifty expense accounts make a report unreadable. · Accounts receivable: estimate, invoice, receive payment, deposit. The payment clears the invoice, it does not create income again. · Accounts payable: bill, bill payment, supplier credit, and why paying a bill with an expense leaves the bill open forever. · Undeposited funds exists because the bank shows one deposit for five cheques. Payments sit there, then a deposit groups them to match the statement line. · The bank feed is a matching exercise, not data entry. Match when the transaction exists, add only when it does not. This distinction removes most double counted income. · Reconciliation is monthly: statement ending balance and date, tick everything, difference to zero. A difference is a missing transaction, a duplicate or a wrong date, in that order. · Owner money is not income or expense. Contributions and drawings are equity, a loan is a liability, a transfer between your accounts is neither. · The three reports: profit and loss for a period, balance sheet at a date, cash flow. Cash against accrual basis changes the profit and loss and confuses everyone once. · Sales tax or VAT is a liability you collected, not revenue. · Classic errors: adding a deposit that was already an invoice payment, deleting instead of voiding, expensing an asset purchase, a balance left in opening balance equity, a transfer booked as income. Ask three questions, then one small task. Ask: who does the books now and for what kind of business, do you reconcile monthly, and what happens when a customer pays an invoice. Then the task: name the account type for each of these, a van, a bank loan, a customer deposit, and money you took out for yourself.
